Event Planning Services

The City of Edmonton recognizes the significant role festivals and events play in the vibrancy of a community and its attractiveness to tourists and potential residents.  Since 1981 the City of Edmonton has supported festivals and events with dedicated funding.  The City of Edmonton has also established the Civic Events Office which is a one-stop shop for all city services for festivals and events, making it easier and less time-consuming for Event Organizers to get the permits and access the services they might need.

 

Special Event Application Process

  1. Review the Event Planning Checklist and Event Planning FAQ.
  2. Fill out the Special Events Application Form and submit it to the Civic Events Office for approval. 
  3. The Civic Events Office will contact you and you will be assigned an Event Liaison to guide you through the process.

Application forms must be submitted no later than 12 weeks prior to the event day.

Information Needed

Once contacted by an Event Liaison from the city, event organizers may be asked to supply:          

  • Site-plan layout
  • Load-in and load-out schedule
  • Schedule of activities and events on-site
  • Special site/equipment requirements
  • Items for sale or display (if applicable)
  • Proof of insurance

Other Permits and Costs

When planning an event, additional permits and costs may be required:

  • Depending on the size and scope of your event, civic services costs may be incurred by the event (i.e. road closures, special event policing, medical services, equipment rentals, etc.)
  • All events on road right-of-ways require a Special Event Roadway Permit or Parade/Procession Permit with the exception of Block Parities
  • Erection of tents and/or other structure may require additional permits
  • All events held on a right-of-way or City of Edmonton property require proof of at least $2,000,000 liability insurance in favour of the City of Edmonton
